HARDWARE

  • Nice table top and display stand for posters
  • A packet of ‘stick-on Velcro’ is handy
  • Stock of give away DVDs (+ plastic holders) and written material
  • DVD player with nice intro DVD and wireless headphones or small active speakers if appropriate
  • Local contact nos if desired for follow up

FIRST

  • Form a core planning team of 2-3 people to take responsibility for the planning of the project
  • Agree on objectives of project: e.g. nos of DVDs give away, nos of people who listened to a DVD at stand etc, then you can match against outcomes ( what actually happened)
  • Find venue (Google) and book your space. State you are a registered charity, and are not selling anything but giving away free DVDs and materials
  • As well as the possibility of a reduced/free rate for your stand, you may also be able to get a free ad in the show magazine (if there is one)as well as no charge for electrical sockets etc
  • Establish the size of pitch you are getting and any extra charges that may apply – try for reduced rate

COSTINGS

  • Best to cost in advance then put costs to finance person/local community if need be

LOCATION

  • If possible visit the venue before the event to check out potential problems, establish distances from electrical sockets to your stand etc
  • It is preferable to get a position against a wall, or at least on the outside circumference of the room minimises visual distractions behind stand
  • Good if people will have to walk by you as they explore the other stands
  • Having a bit more space around stand can be an advantage - people are less distracted by neighbouring stands

TIMING

  • Best to check out if clashes or complements with anything major ( e.g. events with Maharaji, local football match)

VOLUNTEERS

  • Try to get plenty of helpers (it’s a long day), preferably two or more people on at any time, but fairly short shifts
  • Your SAM can help if you tell them well in advance
  • Someone needs to know how to do the AV and have others who enjoy interacting with people

Some exhibitions also have a program of presentations in a lecture room, so ask for an hour slot in there to show a full length dvd.

Have a poster which tells people that Prem Rawat speaks in the UK and invite them to leave their contact details to be informed. (I used the text from the words of peace website for the poster and contact details forms)
